Set up your organisation
The short version of getting a new organisation from zero to its first event. Every step links to a detailed guide.
1. Get your organisation created
Organisations are created by the RaceRanger team — contact them to set one up. You'll be added as the organisation admin. More in Creating an organisation.
2. Add your contact details and documents
On the web, choose Organizations in the top bar. Your organisation's card has Edit organization: set the local name, website and contact email there. To share PDF documents (rules, guidelines) with every member, open the Documents tab and choose + Document. The RaceRanger team sets your organisation's name and logo. More in Creating an organisation.
3. Invite your members
On the Users tab, choose + User, type the person's full email address and choose Invite. People who already have a RaceRanger account join straight away. Everyone else gets an email invitation and waits in Pending until you approve them. Members are the pool of people you can assign to events. More in Member management.
4. Create your first event
On the Events tab, choose + Event and give the event a name, a place and dates. Pick its size: it sets how many races and users the event can have, and whether it gets custom chats and voice commands. Each event uses one of your organisation's credits for its size. If your organisation imports events from a timing system, you search for the event instead. More in Managing events.
5. Hand it to a technical delegate
Assign a technical delegate to the event — they take it from here: races, rules, course map, officials. Point them at Set up a race start to finish.
6. Optional extras
- Race templates — capture a good race setup once and reuse it at every event.
- Crews — bring volunteers, police, medical and other field teams into an event (switched on by the RaceRanger team).
- AI assistant — set up events from a plain-language request (enabled by the RaceRanger team).
- Collecting feedback — ask officials a few questions automatically after each event.
After the event
Open the event and choose Mark as completed. That sends your feedback questions and clears people who joined only for this event from your Pending list. Then download the race reports.
