Creating an organisation

An organisation is the top-level container in RaceRanger. All events, users, and settings live under it. Most federations or event series have one organisation.

How organisations are created

Organisations are created by the RaceRanger team. This is not a self-service process — contact RaceRanger to set up your organisation.

Once created, you'll be assigned as the organisation admin and can start configuring settings and inviting members.

Your organisation's page

On the web, choose Organizations in the top bar. If you're an admin of more than one organisation, pick one in the selector at the top.

The page shows your organisation's card — its logo, website and contact email, Edit organization, your Credits and Transactions — and three tabs:

  • Users — your admins, members and Pending people; see Member management.
  • Events — your events; see Managing events.
  • Documents — PDF documents (rules, guidelines) every member can read in the app. Add one with + Document.

Organisation settings

Edit organization has these tabs. Save with Save organization.

  • General — the Local name (an optional localised version of your organisation's name), Website and Contact email.
  • Feedback — the questions officials answer after each event; see Collecting feedback.
  • Templates — reusable race setups; see Race templates.
  • Roles — your organisation's user roles and TO assignments; see Users and permissions.
  • API keys — only when your organisation has API access; see API authentication.

Set by the RaceRanger team

Some settings are managed by RaceRanger. Contact them to change:

  • your organisation's name and logo;
  • the sport — triathlon or cycling;
  • TO assignments — the race-level role system for officials;
  • API access — API keys and webhooks;
  • the AI assistant, and its event data analysis;
  • Crews, with your default minimum age for crew members;
  • athlete check-in;
  • your credits.

Credits

Every event uses one credit of its size — Small, Medium or Large. Your organisation's card shows how many you have left of each. Changing an event's size gives back a credit of the old size and uses one of the new size.

Transactions lists every change: events created or resized, and credits RaceRanger added or removed. If you run out of credits for a size, ask RaceRanger to add more. Sizes are described in Managing events.

Timing-system import

Some organisations have an API connection to a timing system that allows automatic search and pre-fill of event and race data. If your organisation has this integration, event creation and athlete import are partially automated — see Managing events.

Organisations without this connection create events and manage data manually.

Multiple organisations

A user can belong to multiple organisations. Each organisation has its own events, roles, and settings. Switch between them with the selector at the top of the Organizations page.
